Role Overview
The Operation Executive will support the Management Team in ensuring smooth daily operations across the organization. The role involves managing office facilities, administrative processes, vendor coordination, inventory, and basic financial documentation while maintaining an efficient and well-organized workplace.
Key Responsibilities
1. Office Operations & Facilities Management
– Oversee daily office operations to maintain a clean, organized, and functional work environment.
– Manage facilities including utilities, maintenance, cleaning, repairs, and general upkeep.
– Monitor infrastructure and equipment to ensure uninterrupted operations and timely issue resolution.
– Coordinate with external vendors and service providers for maintenance, networking, and operational support.
– Identify recurring facility needs and implement improvements to enhance efficiency and workplace standards.
2. Administrative Support & Documentation
– Handle operational and administrative documentation with accuracy and professionalism.
– Maintain organized records including bills, payroll sheets, service logs, and employee files.
– Support management with administrative coordination and ad-hoc office requirements.
– Ensure timely completion of recurring administrative processes and escalate unresolved issues promptly.
3. Employee Support & Workplace Operation
– Serve as the first point of contact for employee and office operation queries.
– Coordinate onboarding and offboarding logistics, workspace readiness, access support, and asset allocation.
– Ensure meeting rooms, common areas, and workstations remain presentable and operational.
– Foster a reliable and responsive workplace experience through quick and professional issue resolution.
4. Inventory & Asset Management
– Maintain accurate inventory of office supplies, consumables, and administrative materials.
– Track company assets, equipment allocation, and condition.
– Coordinate servicing, repairs, and replacements as needed.
– Plan timely replenishment of essential items to prevent operational delays.
5. Vendor Coordination & Cost Control
– Liaise with vendors to ensure timely and quality service delivery.
– Support vendor comparisons, quotations, and cost checks to ensure value and efficiency.
– Maintain professional relationships while ensuring accountability and adherence to agreements.
6. Internal Coordination & Office Standards
– Support planning and logistics for internal meetings, activities, and office events.
– Ensure compliance with company policies, operational guidelines, and workplace standards.
– Identify inefficiencies and propose practical improvements to strengthen daily operations.
7. Financial Reporting & Bookkeeping
– Prepare and maintain accurate financial records including monthly, quarterly, and annual reports.
– Record daily transactions, manage invoices, and maintain the general ledger.
– Compute taxes, prepare returns, and ensure compliance with regulatory requirements.
– Conduct internal audits to verify accuracy and identify discrepancies.
– Manage cash flow by reconciling bank accounts, overseeing payroll, and monitoring expenditures.
Required Qualifications
-Minimum 2 years of experience in office administration, accounting, or operations management.
– Proven ability to manage multiple responsibilities with strong organizational and follow-through skills.
– Experience coordinating vendors, maintenance requests, and office support services.
– Proficiency in MS Excel / Google Sheets and operational reporting tools.
– Ability to work across multiple software platforms to streamline and enhance operations.
– Strong communication and interpersonal skills for effective coordination with employees, vendors, and management.
– High level of reliability, discretion, and attention to detail.
Preferred Experience
– Experience in a fast-paced, service-oriented, or operations-heavy environment.
– Familiarity with asset tracking, facilities coordination, and workplace operations.
– Exposure to vendor management, bill tracking, and procurement support.
– Comfortable working in a culture that values responsiveness, ownership, and professionalism.
– Basic knowledge of popular AI tools (ChatGPT, CoPilot, Grok, Gemini etc.) and proper use of prompts would be appreciable.
Salary Range
– Starting from BDT 25k-30k per month.
Working Schedule
– 5 days (Fri-Sat weekends), 10 AM to 07 PM
– Occasional Saturday work may be required.
